Smart Tools

Before starting to develop RoadBASE®, we talked to a large number of clients to find out what they considered important, and equally, what should be left out. A common request was to allow regular tasks to be performed in a single, intelligent, operation.

Our solution was to develop a series of Smart Tools. Each tool performs a specific task in the simplest, most intuitive, way. A selection of these are described below.

Screen Design Tool

Our unique design tool lets you adapt RoadBASE® to your requirements. You can:

remove standard fields
adjust the layout and position of items
introduce new text, fields & calculations

Explorer Smart Tool Using the easy to follow Explorer, you will soon be controlling and managing your fleet better than ever. This picture shows just one way that the system can be tailored to individual needs. "The main thing to hit you when you start up RoadBASE® is how familiar it looks, with the opening screen designed to be like Windows explorer. This makes moving around intuitive for existing Windows users and is a major plus"

	The selected option above (My Options) shows the name of the current user. The options on the right hand side are that persons most used items. This enables individual users to place those options used most regularly within easy reach. Options are selected using the right-click menu whilst browsing the explorer.

Fleet Status Smart Tool This tool provides an at-a-glance review of current fleet status. It highlights overdue, due and forthcoming events in a simple list view, which responds to the users selections. For commercial vehicle systems, this tool also reports Tachograph inspection and replacement dates. The event list can also be extended by the user, for example, by including additional inspection dates (Fridge, Bodywork, etc.)

Reallocate Smart Tool

The Reallocate tool takes the legwork out of moving drivers between vehicles, handling disposals, and updating records for new and departing drivers.

As you allocate a driver onto an vehicle, the system loops around and queries what happened to the original driver.

This repeats until all reallocations in the 'chain' are complete. Drivers that are leaving the company are handled by leaving Allocate to blank.

The allocations history is updated, ensuring that P11d reporting can be easily generated.

Warranty Search Tool

Whenever you replace items on a vehicle, the system automatically carries out a Warranty Search. The aim of this search is to identify potential warranty claims, either against the original manufacturer, or a third party workshop.

Quick Jobs

Quick Jobs have been specifically designed to enable an accurate record of simple job cards to be input and maintained via a simple single screen.

The job card created is fully compatible with job cards entered via the standard job card screen, and the data is stored in the same databases to enable effective reporting.

Taxable Benefits Tool

The benefits tool pulls together the information required to generate the tax return.

As the system already knows the Driver and Vehicle details, this report is literally available at the touch of a button:

Vehicle taxable value and age
Allocation history (which vehicles driven and when)
Driver additional benefits (private fuel, plus additional user definable benefits may be recorded)

Tax rules updated annually to reflect changes in scale charges and calculation rules

You can also review changes in benefit from year to year.
